Subscriptions & Consumption
The subscription system regulates access to platform features and the allowed usage volume. Each company operates within the limits defined by its plan.
Visibility
All company roles (Admin, Editor, Reader) can view subscription information read-only. The visibility of tools in the menu (Chat, Search, Web Search, Widget) depends on what's enabled in the plan. Only the COMPANY_ADMIN can change the plan.
Subscription plans
Plans differ in monthly token allocation, number of users, available features and enabled external source categories. The plan is assigned to each company at creation or at any later time.
Higher plans include:
- Larger monthly token allocation
- Access to more certified external sources
- Document generation with advanced templates
- Priority support
- Ability to configure a custom LLM provider
Token monitoring
Every operation on the platform consumes tokens based on complexity. The consumption dashboard offers a detailed view, updated in real time.
Monthly allocation
Each plan provides a maximum number of monthly tokens. The counter resets automatically on the subscription renewal date.
Per-service breakdown
Consumption is split by category of use, allowing you to understand where tokens are spent.
| Service | Description |
|---|---|
| Chat | Conversations with the AI assistant |
| Search | Semantic queries on documents and knowledge base |
| Widget | Interactions through the embeddable widget |
| Document generation | Creating documents from templates |
| External sources | Queries to certified databases |
Usage dashboard
The dashboard provides charts and indicators to monitor consumption trends:
- Daily consumption and weekly trend
- Usage percentage out of total available
- Projected end-of-period consumption
- History of previous months for comparison
Renewal dates
The token counter resets at the subscription renewal date. The date is visible in the company sheet and in system notifications.
Subscription states
Each subscription goes through several states that determine the platform access level.
| State | Description | Access |
|---|---|---|
| Active | Regular and operational subscription | Full |
| Trial | Free evaluation period | Full with reduced limits |
| Warning | 80% token threshold reached | Full with notification |
| Suspended | Tokens exhausted or payment missing | Read-only |
| Expired | Subscription ended and not renewed | None |
Warning thresholds
When consumption reaches 80% of monthly allocation, the system automatically triggers notifications:
- Notice visible in the company dashboard
- Email notification to Company Admins
- Indicator in the interface status bar
Notice
When 100% of tokens is reached, the company moves to Suspended state. Users will be able to consult documents but not start new conversations or perform searches.
Custom LLM provider
Plugging an external AI provider is an effective strategy to manage costs. Calls routed to the custom provider don't consume Queria subscription tokens, allowing potentially unlimited usage against the costs of the chosen provider.
Document generation categories
The subscription determines which document categories can be generated via the AI assistant. Categories include reports, summaries, comparative analyses and other formats, each available based on the subscribed plan.
Subscription management
To change the plan of your company, the Company Admin accesses the subscriptions section and selects Edit subscription. Upgrade is immediate, while downgrade takes effect from the next renewal period.
TIP
Regularly monitor consumption and configure warning thresholds in advance. Usage consistently close to the limit suggests the need for an upgrade or the adoption of a custom LLM provider.
